Fixed-fee projects

Revenue is recognised as the work progresses — fee × hours logged ÷ budget hours, capped at the fee — so a job running over shows up before it's finished.

Time & materials

Bill by the type of work (strategy at one rate, design at another) or by each person's charge-out rate. Every logged hour is priced automatically.

  1. Bring your history

    Import from Harvest (CSV or API token), Toggl Track, Clockify, Everhour, Productive or any spreadsheet.

  2. Invite the team

    Create an invite link per person with their role: member, manager or admin.

  3. Track against clients

    Everyone logs time to a client, project and task, with a short description of the work.

  4. Review, report, invoice

    Check servicing, send the client report, raise the invoice and push it to Xero.

Common questions

Can we bill retainer clients and project clients in the same workspace?

Yes. Each client is set up as a monthly retainer, a one-off project (fixed fee or time & materials) or just a client with work set up later, and each project has its own billing type.

Does it show when a retainer is being over-serviced?

Yes. The Clients list compares the value of the time delivered each month with the retainer fee and shows On track (within 5%), Over-serviced or Under-serviced. Overage is not billed automatically.

Can we move over from Harvest?

Yes. The importer takes Harvest CSV exports or connects with a Harvest personal access token (used once, not stored), and brings in people, clients, projects, tasks, time and invoices. Time already invoiced in Harvest arrives as billed, so it isn't billed twice.

Will clients or junior staff see our margins?

No. Cost rates, profit and margin are visible only to owners and admins, and client reports show hours and descriptions, not your costs.
