Where the numbers come from

Revenue

Billable time at your rates — by type of work or by person — plus the fee for retainer and fixed-fee work, recognised as the work progresses.

Cost

Every hour logged, costed at that person's internal cost rate. Cost rates are set per person and seen only by owners and admins.

Profit and margin

Revenue minus cost, for the last six months, by client or by project — the same numbers whichever billing method you use.

Common questions

Where do the cost figures come from?

From each person's cost rate (£ per hour), set by an owner or admin in Settings → Team & rates or on the Team page. Every logged hour is costed at that rate.

Who can see profitability?

Owners and admins. Managers and members don't see cost rates, profit or margin.

Does switching between billing by task type and by person change the profit figures?

No. The billing method changes how future unbilled time is priced for invoicing; cost rates and profitability work the same either way.

Does it bill retainer overage automatically?

No. It shows when a retainer is over- or under-serviced so you can have the conversation — it doesn't raise extra invoices on its own.
