Terms of Service
Last updated 17 September 2026
These terms govern your use of Fortis Time Management. By creating a workspace or subscribing, you and your organisation agree to them.
About these terms
Fortis Time Management is operated by Fortis Tech Limited (company number 07298301), registered office 18 Callywith Gate, Launceston Road, Bodmin, England, PL31 2RQ ("Fortis Time Management", "we", "us"). Our ICO registration number is [TBC].
If you have any question about this document, email us at support@fortistime.co.uk.
The service
Fortis Time Management is a web application for time tracking, budgets, live profitability and invoicing for professional services teams, with the option to push invoices to Xero (further accounting integrations may be added over time).
Accounts
Fortis Time Management is sold only to businesses. By creating a workspace or subscribing, you confirm you are acting for the purposes of your trade, business or profession and not as a consumer. Whoever creates a workspace is responsible for the accuracy of the information provided and for the actions of the team members they invite into it. You must keep your login credentials confidential and tell us promptly if you suspect unauthorised access.
Free trial
New workspaces get a 14-day free trial with full access to Fortis Time Management's features and no card details required to start. If you don't choose a paid plan by the end of the trial, your workspace moves to a restricted, read-only state until you subscribe — we don't charge you automatically.
Subscriptions and billing
Paid plans are billed per seat (per active team member), on a monthly or annual billing cycle of your choice. Annual billing is offered at a lower effective monthly rate. Current plans and prices are shown on our pricing page and are quoted exclusive of VAT, which is added where applicable. Fortis Time Management does not charge any usage-based or per-transaction fees on top of your per-seat subscription.
Payments are processed by Stripe (once billing is switched on). You'll enter your card details directly with Stripe — Fortis Time Management never receives or stores your full card number.
Cancelling
You can cancel your subscription at any time from Settings. Cancelling stops future renewals, but you keep access to your paid plan until the end of the billing period you've already paid for. We don't offer refunds for the unused part of a billing period, except where required by law.
Price changes
We may change our prices from time to time. If a price change affects your subscription, we'll give you at least 30 days' notice before it takes effect, and you can cancel before the new price applies if you don't want to continue.
Acceptable use
You agree not to:
- Use Fortis Time Management for any unlawful purpose, or to store or transmit unlawful content.
- Attempt to reverse engineer, decompile or probe the underlying software beyond what's permitted by law.
- Attempt to circumvent workspace, seat or plan limits, or resell access to Fortis Time Management without our written agreement.
- Interfere with the service's security or availability, including any attempt to access another workspace's data.
Your data
You (or rather, your organisation) own the data you put into Fortis Time Management — time entries, client records, rates and invoices. You can export your data from the app at any time. We process it only to provide the service to you, as described in our Privacy Policy and Data Processing Agreement.
Suspension and termination
If a payment fails, we'll email reminders and give you a reasonable opportunity to update your payment details before we suspend access for non-payment. We may also suspend or terminate an account that breaches these terms, for example by misusing the service or violating the acceptable use rules above. Either party may terminate for a material, uncured breach by the other.
Service availability
We work to keep Fortis Time Management available and reliable, but we don't guarantee uninterrupted or error-free operation, and we may carry out planned maintenance from time to time.
Third-party integrations
Connecting Xero (or any future integration) is optional and happens only when you choose to authorise it. Your use of Xero remains subject to Xero's own terms, and we're not responsible for how Xero handles data once it leaves Fortis Time Management.
Liability
Nothing in these terms limits liability that cannot lawfully be limited or excluded, such as liability for death or personal injury caused by negligence, or for fraud. Subject to that, our total liability to you arising out of or in connection with these terms is capped at the fees you've paid us in the 12 months before the claim arose, and we are not liable for indirect or consequential loss.
Governing law
These terms are governed by the law of England and Wales, and the English courts have exclusive jurisdiction over any dispute.
Support
Support is provided by email and, once it launches, in-app chat, at support@fortistime.co.uk. We don't currently offer phone support.
Changes to these terms
We may update these terms from time to time. We'll post the revised terms here and update the "last updated" date; material changes will be emailed to workspace admins.
